Job Description

Analytical Mechanics Associates, Inc., (AMA) is looking to hire a Business Operations Manager to assist the Program Manager with administrative, managerial, and supervisory duties at the NASA Neil A. Armstrong Flight Research Center ( NASA AFRC) in Edwards, California.


The Business Operations Manager (BOM) will be responsible for working closely with the Program Manager (PM) in the coordination and tracking of all activities related to contract operation. The BOM will assist with administrative, personnel, fiscal, travel, logistical, training, equipment and other duties as assigned by the PM. The BOM will work onsite at NASA AFRC. We are looking to hire a candidate on a part-time to full time basis with an annual salary ranging from $110,000 to $150,000 per year based on education and experience.


Responsibilities include:

  • Take ownership of program activities as an integral part of contract operations including tracking and coordinating activity on many fronts, assessing situations/issues that may arise and effectively discussing recommended course of action with the PM.
  • Build and maintain working relationships with the customer, team members, vendors, and corporate operations.
  • Coordinate with corporate infrastructure to clearly define roles, work sharing, and effective workflow.
  • Directly supervise administrative staff who will support the BOM in contract operations, including accounting, human resources, recruiting, facility security officer (FSO) roles, and IT support.
  • Manage all project control functions, bringing standardization and consistency to work assignments and task order execution.
  • Generate site specific reporting for the PM in the area of finance, training, and compliance.
  • Continuous evaluation of operations efficiencies at all levels of the business, making recommendations to the PM for ongoing productivity, customer satisfaction, and profitability improvement.
  • Manage, develop and maintain, as well as archive operation data and records, including site performance metrics, contract CDRLs, contract reporting and operation information.
  • Work with AMA Contracts/Procurements to track procurements and subcontracting to ensure agreements are in place and monitor spending tasks against plan.
  • Coordinate, review, and finalize cost estimates for surge and travel requests using AMA tools including MS Excel, iSite, and SharePoint.
  • Controls and reports for timeliness and costs to provide transparency across our management team as well as tracks work performance and Task Order plans.
  • Compile, assess, and verify financial documents, including site monthly expenditures and Govt 533M financial statements.
  • Ability to conduct financial analysis and reporting to provide insights into business performance and inform strategic decision-making.
  • Coordinate and communicate effectively with technical and administrative staff members to address operational efficiency or emerging issues.
  • Some overnight travel may be expected.
  • Perform other duties as assigned when necessary.

Requirements:

  • Bachelor's Degree with an emphasis in Business Administration, Finance, Engineering, Management or a related field strongly recommended, or equivalent experience.
  • Minimum 5 years of relevant experience in business or program management including supervision of personnel and strategic decision making.
  • The successful candidate will have an acute sense of ownership to provide oversight and management for multiple activities and the ability to manage a diverse team and supporting evolving leadership priorities.
  • Ability to work closely with specified personnel to facilitate effective planning and accomplishment of critical objectives in a timely manner and ensure adherence to plans and schedules.
  • Prior experience implementing overall business process improvements and project management best practices. Prior experience and knowledge of multiple business management departments, including finance, subcontracting, contracting, purchasing, and recruiting is a plus.
  • Strong ability to identify problems, determine accuracy and relevance of information, and use of sound judgement to generate and evaluate alternatives, and to make recommendations.
  • Excellent communication skills (both oral and written) including experience in preparing work instructions as well as oral and written briefings.
  • Proven ability to develop, document, and maintain operational policies and procedures.
  • Prior experience in managing a research and engineering workforce is desirable.
  • High proficiency in MS Office suite (Excel, Outlook, Word, PowerPoint, Teams), familiarity with iSite and SharePoint is a plus.
  • Ability to work with minimal or no supervision.
