Description

Under direct supervision, the Office Support Specialist performs routine but specialized and essential support activities for the Quality Integration Unit in the Office of Correctional Medicine in accordance with policies and standards of performance. This position is required to travel to correctional facilities statewide.

Examples of Duties

401. Travels to correctional facilities to copy and retrieve confidential documents for review and analysis by OCM management staff; maintains chain of custody for records.

Prepares and maintains complex, highly specialized records and reports; reviews and verifies documents and inquiries; compiles and assembles charts and data; prepares and maintains spreadsheet, dashboard or database files to maintain records and produce reports; provides information concerning document gathering and retrieval and explains or clarifies processes and procedures to partners or OCM staff; assures compliance with OCM document retrieval and storage.
203. Provides clerical office support to unit supervisor and professional staff; keyboards a variety of correspondence, reports or other information from handwritten hard copy; composes and keyboards routine correspondence and responds to inquiries requiring general knowledge of program operations; organizes and maintains ASNME filing system and dashboard; schedules appointments to retrieve confidential documents from correctional facilities.
104. Maintains supply inventory for the Quality Integration Unit.
55. Maintains an overall awareness of organizational activities of importance or impact to the designated member(s) of the unit staff and the unit; develops and trains OCM staff and partners on ethical, compassionate and non-judgmental aspects and techniques needed in the performance of services.
56. Performs other related duties as assigned.

Qualifications

1. High school diploma or equivalent.
2. Any one or combination totaling two (2) years (24 months) from the categories below:
A. College coursework in any curriculum, as measured by the following conversion table or its proportional equivalent:
30 semester hours equals one (1) year (12 months)
Associate's Degree (60 semester hours) equals eighteen months (18 months)
90 semester hours equals two (2) years (24 months)
Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
B. Work experience performing office/clerical activities, including the use of computer systems.
3. One (1) year (12 months) of work experience comparable to the second level of this series.
