Job Description

Position Summary:
Provides administrative, secretarial, and clerical support to Nursing Directors and Managers of assigned clinical areas. Required to schedule, attend and take minutes of various meetings. Completes daily timekeeper activities for assigned clinical areas and provides backup support as needed for other departments.

This position is not typically scheduled to work on Wednesdays. Monday, Tuesday, Thursday and Friday 11:30am-4:30pm. This is a part-time role at 20 hours a week.

EXPERIENCE REQUIREMENTS
Relevant past experience required.

ADDITIONAL REQUIREMENTS
Related coursework helpful.

SKILLS AND KNOWLEDGE
Strong computer skills required: Microsoft Word 2010, Excel, Publisher, Powerpoint, Outlook, Visio, Adobe Acrobat.
Ability to use copier/fax/scanner and phone system.
Good organization, time management and scheduling skills.
Ability to multitask.
Strong communication skills.

Essential Functions:

  • Setup and coordinate meetings
  • Maintain electronic calendar for appointments
  • Prepare coorespondence
  • Maintain contracts and agreements in secure manner
  • Recognize and know key personnel with whom Directors and Managers of Hospital Operations communicates and within Carle organization
  • Create and maintain filing systems, both electronic and physical
  • Perform data entry
  • Collate and distribute mail
  • Prepare operational reports
  • Obtain approval of invoices and send to Urbana Accounting
  • Transcribe meeting minutes
  • Manage office supply inventory for Directors, managers and assigned clinical units
  • Operate copy equipment, fax machines, printers or other equipment necessary
