Chapin Hall at the University of Chicago is seeking a Project Associate to provide support to two major projects focused on advancing strategies to promote child and family well-being and preventing child welfare involvement. The individual will assist in maintaining a project work plan, monitoring project progress, managing routine tasks and scheduling of meetings, developing agendas for internal team meetings and following up on action items, supporting storage and organization of documents and data files, identifying opportunities to streamline day-to-day work, and leveraging appropriate tools and skillsets to optimize team resources and the quality and timeliness of project deliverables.

This is an ideal position for an individual with strong project management and data visualization skills and a specific interest in services for children and families, economic and concrete supports, and prevention of child welfare involvement. In addition to project work, the Project Associate will play a knowledge management role by maintaining an internal inventory of relevant resources for staff as well as developing high quality power point presentations with data visualizations for national audiences for a large team of policy analysts and fellows.
The position will report to Policy Fellow Yasmin Grewal-Kok. Work will be conducted remotely, with the possibility of occasional business travel within the continental United States.
RESPONSIBILITIES
  • Develops and refines high quality PowerPoint presentations and other presentation materials, talking points and handouts for national audiences.
  • Provides substantive and administrative project management support to senior staff.
  • Manages competing priorities and requests from multiple team members and client partners and prioritizes appropriately.
  • Works collegially and collaboratively with colleagues across policy, research, and administration to share information, responsibility, and resources.
  • Creates and maintains Share Point sites, project work plans, and other project management tools.
  • Coordinates administrative functions and logistics of project-related meetings with key external partners and stakeholders.
  • Develops meeting materials including results-based agendas, synthesizes meeting proceedings and action items, tracks completion of action items.
  • Maintains an inventory of relevant resources for a large team of policy staff, including distribution of an internal weekly newsletter to share key updates
  • Manages and organizes bibliographic references and data files
  • Participates in internal (Chapin Hall) team meetings to discuss project progress.
  • Performs additional duties as assigned.
QUALIFICATIONS
  • A bachelor's degree in communication, public policy, or a related field or has a minimum of two years of relevant work/internship experience in project management.
  • Proficient use of Microsoft Office (Word, Excel, Outlook, PowerPoint, Visio) and Reference Management tools (EndNote, Zotero, or similar) to support internal knowledge management and external communications.
  • Strong attention to detail with good organization skills.
  • Background in project management.
  • Effective verbal and written communication skills.
  • Ability to work independently and in a collaborative team environment.
  • Aptitude for problem-solving and process improvement.
  • Ability to manage multiple, concurrent tasks.
  • Applied judgment and discretion in the handling of sensitive information.
  • Strong interpersonal skills.
  • Strong aptitude for high quality data visualizations and PowerPoint presentations.

  • Must be able to remain in a stationary position for extended periods of time.
