Job Description

Job Summary:

Coordinates patient flow and manages the daily schedule for the Audiology Department. Works together with the On-Call audiologist and medical specialists to coordinate scheduling of Audiology services. Oversees the prior authorizations and pre-certification process for Audiology outpatients.

Essential Job Functions:

  • Works closely with audiology manager and clinical office coordinator to coordinate personnel resources to ensure efficient work flow for each sound booth and for inpatient needs.

  • Reviews daily/weekly audiology schedules. Discusses with audiology manager to reassign appointment types as needed when clinics are canceled or alternative appointment types are needed.

  • Triages scheduling of audiology inpatients from new and existing orders.

  • Coordinates outpatient clinic work flow to facilitate urgent same day scheduling requests.

  • Serves as department liaison to address scheduling and patient care questions from nurses, physicians and other medical staff.

  • Serves as primary contact for patient care questions/concerns from families, triaging the questions to clinical staff as needed.

  • Serves as primary contact for parent drop off and pick-up of audiology equipment and supplies.

  • Documents and tracks data regarding clinic schedules. Report to audiology manager trends that may indicate changes needed for clinic scheduling.

  • Establishes and maintains collaborative communication between the department of audiology and physicians, nursing and ancillary departments to ensure the coordination of audiology scheduling.

  • Serves as audiology clinical assistant if other responsibilities permit and audiology clinical assistants are not available.

  • Works cooperatively with audiology leadership to accomplish additional tasks as necessary to achieve hospital and departmental objectives.

  • Initiates pre-certification and prior authorization processes for hearing aid and FM equipment coverage.

  • Maintain database to confirm and track prior authorizations and pre-certifications. Coordinate with Audiologist, insurance company, PFS and patient families to ensure prior authorizations are obtained.

  • Coordinates referral and scheduling process for research study patients.

  • Performs job functions adhering to service principles with customer service focus of innovation, service excellence and teamwork to provide the highest quality care and service to our patients, families, co-workers and others.

Required Knowledge, Skills and Abilities:

  • High School diploma required. College degree preferred.

  • Minimum two years of experience in hospital or physician office setting.

  • Familiarity with patient registration functions and insurance benefit verification.

  • Knowledge of medical terminology, managed care requirements, and government agency regulations.

  • Ability to provide high level of customer service to patients, all department staff, management and external customers.

  • Knowledge of private and public insurance procedures.

  • Ability to communicate effectively with patients and third party payers is essential.

  • Must demonstrate strong organizational skills and the ability to problem solve and support teamwork in a multidisciplinary setting.

  • Have the ability to work independently while exercising good professional judgment and pulling in assistance when necessary.

  • Computer skills required - must maintain competency working in EPIC and Microsoft Office skills.

  • Must demonstrate excellent written and verbal communication skills.
