Description

This position functions as the supervisor of the reception unit at SIU Medicine North Dirksen Express Care. This clinic is open 7 days a week 8a-8p. Functions may include but are not limited to checking in patients, collecting payments, managing patient insurance, addressing patient complaints, staff scheduling, department and SIU meetings, and supervising staff and the day-to-day operations of the unit.

Examples of Duties

60% Administration
1. Hire, train and supervise reception staff.
2. Serve as the point of contact for the reception responsibilities.
3. Conduct staff performance evaluations.
4. Orient and train new staff.
5. Obtain staff competency on an annual basis.
6. Monitor the productivity of staff and provide feedback or corrective action.
7. Attend clinic operations meetings representing the reception.
8. Advocate for the unit's efficiency and efficacy.
9. Answer questions, problem-solve, and coordinate the unit.
10. Set daily priorities for staff.
11. Work with other managers to assist in critical areas.
12. Responsible for on-site cash and end-of-day Batch Management.
13. Assist with patient complaints and provide appropriate feedback.

40% Patient Registration
14. Cover the reception unit during gaps in staffing.
15. Assist in receiving and welcoming patients into the clinic.
16. Interview patients to obtain demographic and billing information
17. Manage information related to insurance plans and FQHC uninsured.
18. Access the computer terminal to input patient demographic and billing data for patients.
19. Create initial medical records for new patients.
20. Obtain the patient's signature on authorization forms.
21. Generate daily schedules, print encounter forms, and demographic information.
22. Ensure all patient information is accurate.
23. Scan patient insurance cards and patient identification cards.
24. Distribute pre-planned forms at check-in for clinic/s.
25. Assist in printing chart summaries out of the EHR.
26. Assist in making follow-up appointments.
27. Collect payment at the time of service.
28. Complete and maintain the receipt register.
29. Responsible for ensuring the accuracy of batch management.

Qualifications

  1. Any one or any combination totaling five (5) years (60 months), from the categories below
    1. College education with course work in a business medical field such as nursing assistant, medical assistant, or medical secretary and/or business fields such as business, finance, public administration, or social science, as measured by the following conversion table or its proportional equivalent:
      • 30 semester hours equals one (1) year (12 months)
      • Associate's Degree (60 semester hours) equals eighteen months (18 months)
      • 90 semester hours equals two (2) years (24 months)
      • Bachelor's Degree (120 semester hours) equals three (3) years (36 months)
    2. Work experience or ancillary service experience comparable to the Medical Office Specialist level or other positions of comparable responsibility.
