Job Responsibilities:

The incumbent will be responsible for successful logistical planning, implementation, and execution of ADA's annual meeting, SmileCon, and its scientific program, exhibit hall, and events. As part of the logistics team, this position also supports various in-person, hybrid, and webinar meetings produced by the organization. A two-year planning cycle of specification collection and development, vendor and staff coordination, and budget and data management is essential success of SmileCon. In support of the Senior Manager, Logistics and Exhibits, the Manager, Logistics will assist in planning and executing logistics for all Convention Center areas and events including but not limited to Registration, Dental Central (Exhibit Hall), Lobby / Public Areas, management offices, lounges, concession areas and building exterior. This position will also work closely with the Continuing Education team to identify program, workshop, and educational area meeting spaces as well as manage logistical requirements and work with vendors to develop budget estimates. This position will also work directly with our vendors on decorating, convention services, catering, labor, audiovisual, internet, signage, furniture and equipment rental, security staffing, temporary event staffing, on-site medical staffing, medical waste disposal, cleaning, electric, and parking requirements. Assists with quarterly and annual budget development and forecasts.

Must-Have:

  • Bachelor's Degree
  • 5 years of experience or in lieu of a degree the person must have 9 years of experience. Experience includes:
    • managing large events (2,000+ attendees), tradeshows, and on-site management
    • budgeting and final billing reconciliation
  • Must have excellent oral/written communication, organizational, meeting planning, and logistic skills
  • Must have excellent customer service, problem-solving, conflict-resolution, and multi-tasking skills
  • Must be attentive to detail.
  • Must have knowledge of system and process development
  • Must have the ability to work independently with the flexibility to work on multiple projects
  • Must develop realistic schedules and effectively monitor and report on deliverables
  • Must work with high-level constituents, members, contractors, and staff to provide/solicit information or resolve problems; and work effectively and collegially with other staff to achieve goals and objectives
  • Proficient in Microsoft Office Suite (WORD, EXCEL & PowerPoint)
  • Travel is estimated for 4-5 times per year: winter/spring committee meeting as needed, June final site visit (current year), annual meeting (roughly 8-9 days on site), 2 Year Out budget/blocking site visit, 1 Year Out Blocking/Logistics site visit. Site visits require 2-4 business days and may involve weekend travel.
  • Must be local in Chicago, IL

Nice to Have:

  • Experience working within a healthcare or professional association setting with volunteer committees
  • CMP, CMM, or DES designation desired
  • Familiarity with meeting planning software, database management, and project management tools
