Position Highlights:

  • Position: Administrative Assistant II for OBGYN Research
  • Location: Evanston, IL
  • Full Time/Part Time: Full Time
  • Hours: Monday-Friday, 8AM-4:30PM

What you will need:

  • Education: Bachelor's degree
  • Experience: Secretarial, administrative or organizational experience.
  • Skills: Knowledge of medical terminology and EndNote a plus. Advanced knowledge of and facility with personal computers with expertise in complicated document formatting in both Word and Excel is essential. Excellent communication, organization, and customer service skills; excellent English language usage and grammatical skills; attention to detail; ability to prioritize multiple projects/tasks. Ability to act independently, have good judgment, and work with minimal supervision, as well as having the willingness to accept challenging projects. Must proactively seek out sources for instruction and complete projects appropriately and in a timely fashion.

What you will do:

  • Monitor emails and handle scheduling as personal assistant for Principal Investigator
  • Work closely with research staff and Principal Investigators to facilitate research that seeks to improve the lives of women and birthing people with a focus on equity.
  • Maintain files and records on current and past studies, including grant start and end dates, amounts, activity codes and EH numbers
  • Accept deliveries for research teams
  • Coordinate logistics, such as room set-up, audio-visual needs, registration set-up and catering and other event coordination.
  • Email participants to set up meetings, send out agendas, take notes and send out minutes
  • Keep research staff lists and organizational charts up to date
  • Draft documents and/or assist in the preparation of documents, including letters of recommendation.
  • Process contingent worker paperwork, parking forms, ordering keys
  • Make copies of flyers, consent forms, informational pamphlets; create folders
  • Maintain accurate list of clinical offices, providers and practice managers
  • Coordinate business travel arrangements including submission of expense reports.
  • Coordinate sending slides, poster printing and preparation for presentations and speaking engagements
  • Help with obtaining signatures for documents
  • Assist with gift card procurement and ordering other study supplies
  • Assist with preparation and submission of publications
