Summary: Provide administrative support to the staff and leadership of the Cancer Research Program (CRP) and Cancer Surgery Standards Programs (CSSP) including scheduling committee-related and research study-related calls, preparing meeting materials and minutes, responding to customer service inquiries, maintaining website content, developing slide decks, and completing special projects. Oversees several established processes/projects. This role frequently acts as a point person with ACS CRP and CSSP surgeon leaders and committee members.

This exempt position will report to the Senior Manager, Cancer Research Program and Cancer Surgery Standards Program in the Division of Research and Optimal Patient Care. It is based in our Chicago office and is a hybrid role: 3 days per week in the office/2 days per week remote.

Responsibilities:

  • Provides administrative support to CRP and CSSP staff and surgeon leaders. Schedules conference calls for eight committees and approximately 10 committee-related projects/studies. Prepares meeting materials, reports, and PowerPoint presentations. Drafts meeting agendas and minutes. Liaises with Cancer Programs staff members to maintain accurate committee rosters.

  • Responsible for maintaining schedule of newsletter and social media content. Drafts content based on programmatic activities. Maintains CRP/CSSP websites, including submitting updates and ensuring accuracy of information. Accountable for managing several established processes such as Bulletin article submissions and Clinical Congress proposals, including managing the schedule, establishing contact with authors, following up and submitting content.

  • Provides administrative support to staff and leadership for special projects and to launch new initiatives.

  • Provides customer service support to CRP and CSSP constituents to include phone and email box management. Independently directs inquiries to appropriate parties. Acts as internal and external resource for CRP and CSSP inquiries. Drafts responses to emails as appropriate.

Required Education and/or Experience:

  • Bachelor's degree or higher from an accredited college or university is strongly preferred.

  • At least 2+ years of similar or related professional administrative experience is preferred.

  • Experience coordinating projects and/or providing committee support is preferred.

  • Experience in non-profits or associations is a plus. Experience working with physicians in a healthcare or clinical setting a plus.

  • Strong working knowledge of Microsoft Office products (Outlook, Word, Excel, and PowerPoint).
