STARTING PAY RATE: $33.17 - $36.91 per hour based on a 40-hour workweek. Salary dependent on qualifications. The salary range for this position is $33.17 - $48.10.

JOB SUMMARY:
This position is responsible for administrative work designed to provide professional support to the department. These assigned responsibilities will aid in developing and ongoing administration of various village programs and services and managing related administrative functions. Work assignments range from specific and involved to general responsibilities, normally performed under minimal supervision. Assignments are subject to assessment through reports, conferences, and observations or results obtained. Assigned projects can include confidential processes, potential changes in village policies, or large-scale projects that require interdepartmental cooperation and coordination. This position assists with employee communications efforts and strategic employee engagement initiatives, as well as, serves as a front-facing administrative coordinator for the department.

The ideal candidate will need to effectively and clearly communicate to a full range of people inside and outside the organization and be able to work cooperatively with others to achieve common goals. JOB DUTIES:

1. Develops, coordinates, and administers special projects or initiatives with limited supervision.
2. Responsible for timely completion of various reports. Tracks and reports on key performance indicators. Creates reports for various data analytic initiatives to assist with monitoring and evaluating department procedures. Designs systems and procedures within the position's discretion and expertise to increase effectiveness, efficiency, and economy of work processes.
3. Processes payment of department expenditures, requisitions, and purchase order requests for invoices received.
4. May assist with gathering and analyzing data for the collective bargaining agreement process and may serve as note taker for management on bargaining unit teams.
5. Maintains proximity card system and issues proximity cards for new hires, volunteers, and contractors, and terminates user access.
6. Responsible for the onboarding and processing of the volunteer program, commission members, and contractors. Assists recruiting with post-offer screening processes and onboarding of new employees.
7. Researches, analyzes, and compiles information and data for budget, negotiations, special projects, and reports as directed. May identify, and create communications or training materials on policy, employee engagement, and other human resources matters. Coordinates with HR department members to receive documentation for updates to the Village's website and intranet.

8. Responsible for managing employee-related programs. This can include employee recognition programs, Intern Day, and others as assigned.
9. Creates and maintains personnel, medical, benefit, and labor files in the document management system.
10. Performs other duties as assigned.

QUALIFICATIONS:
1. Associate's degree in public administration, human resources management, industrial psychology, business administration, or a related field.
2. A minimum of two years of experience in an administrative position at the level of administrative or management intern or higher.
3. Proficient with current computer technology, job-specific software, and customer service systems.
