Job Description

Position Summary:
The Unit Office Coordinator serves as an assistant to the Children Services leadership team, and provides office and clerical support as well as secretarial duties for the nurse manager and supervisors of Children Services. In additional to the office management responsibilities, the Children Services Office Coordinator will perform unit assistant responsibilities and secretarial duties for the Pediatric and Child Life departments.

SKILLS AND KNOWLEDGE
Knowledge of Microsoft Office.

Essential Functions:

  • Serves as an assistant to the Children Services Leadership team, providing office and clerical support such as typing, filing, meeting scheduling, agenda planning, processing meeting minutes, processing invoices, discharge follow up phone calls, copying, mainlining, faxing, and scanning. Coordinates activities, including greeting and assisting customers, answering and following up on phone calls and call lights, coordination of incoming and outgoing mail, supply management and maintenance of office equipment.
  • Reviews and revises Kronos scans for Pediatrics and Child Life as primary and NICU as secondary.
  • Answer telephone, take and deliver messages according to department communication standards.
  • Performs basic office management functions and secretarial duties for Manager/Director of department to maintain cohesiveness in day-to-day office functions and operations.
  • Serves as the primary contact for purchasing for Inpatient Pediatrics and Child Life and the secondary contact for purchasing orders from NICU. Holds oversight responsibilities of the NT8 NICU Conference Room calendar scheduling and assists with calendar maintenance of the Children Services Manager.
