Job Description

Provides support to the Medical Staff Services department. Responsible for maintaining accurate database profile and information on all current members of the Medical and Dental Staff and assisting in the credentialing and recredentialing processes. The Medical Staff Associate has a working knowledge of Medical and Dental Staff Bylaws and standards of regulatory and accrediting agencies and assists the department in maintaining compliance. The Medical Staff Associate will also provide cross coverage and collaboration with department staff on key initiatives of the Medical Staff Services Department.

Job Duties:

  • Manages and maintains all medical staff information in MSOW, to include but not limited to, demographic data, table updates, expirable documents, response letters, resignations, and reappointment processing.
  • Conducts ongoing analysis and reverification of expirable items including but not limited to, state and federal licensure, board certification, malpractice coverage, certifications, and NPDB renewals to ensure compliance with accreditation requirements.
  • Assists Medical Staff Specialists in assembling and processing requests for applications.
  • Assists applicants with initial, reappointment, or additional privilege data entry and Portal support.
  • Assists Medical Staff Specialists in data entry table maintenance, practitioner history searches, and collection and entry of primary source verification contacts.
  • Assists Medical Staff Specialists with primary source verification follow-up, as needed.
  • Assists Medical Staff Specialists with data reports collection and compilation.
  • Manages practitioner name changes and demographic information updates.
  • Manages practitioner resignations and requests for transfers to Emeritus Status.
  • Assists the department with meeting schedules, room reservations, and catering requests. Assist in coordinating meeting materials, meeting notices, agendas, minutes as assigned for department and/or medical staff meetings.
  • Manages monthly sanction checks with vendor and reports monthly to Medical Staff Director and Risk team.
  • Assists with coordinating and facilitating of special event functions for the Medical and Dental Staff such as Doctor's Day, Annual Meeting, and social events.
  • Assists with the annual dues collection process, as needed.
  • Manages collection and deposit of Medical Staff Initial and Reappointment Application fees.
  • Provides customer service support to internal and external customers with information related to the Medical and Dental Staff.
  • Coordinates and facilitates requests for reports of the Medical and Dental Staff data.
  • Provides support to the Director of Medical Staff Services, as needed.
  • Other duties as assigned to support the mission and goals of the Medical Staff Services Department and department leadership.

Knowledge, Skills & Abilities:

  • High school diploma or equivalent required. Additional post-high school education/training in general business preferred.
  • Minimum 3 years relevant experience in hospital or medical office setting, preferred. Experience in medical staff office or managed care setting preferred.
  • Meeting management experience preferred.
  • Experience with a JCAHO or regulatory/accreditation audit is preferred.
  • Extensive knowledge and experience working with Microsoft applications such as Microsoft Word, Excel, PowerPoint, Adobe, Outlook (calendars, tasks, reminders) with the ability to operate standard office equipment.
  • Ability to type at least 40 wpm is preferred.
  • Ability to work under pressure, handle numerous interruptions without losing the attention to details of the task interrupted, be detail oriented, and have excellent cognitive and communication skills.
