LSSI is hiring a full-time Office Services Coordinator, Monday through Friday at our Des Plaines office. Hybrid schedule- remote 1 day per week. Manage mailroom and perform other tasks.

Essential Functions:
  • Run the Central Services Office (CSO) Mailroom, Shipping/receiving and distribution of mail and packages.
  • Voucher for various invoices.
  • Scan daily deposits.
  • Order supplies for all departments at CSO.
  • Coordinate building repairs and maintenance.
  • Create Access and ID Badges for all employees.
  • Work with different departments on building related projects and needs.
  • Responsible for testing AV equipment at CSO.
  • Coordinate removal and retrieval of storage boxes at offsite storage facility.
  • Maintain key log and have keys made when necessary.
  • Restock and maintain kitchen supplies and medical cabinets.
  • Troubleshoot and coordinate repairs for printer in Office Services.
  • Maintain Program Location list and create address labels.
  • Perform minor repairs, if possible, to lighting, office furniture, and cubicles.
  • Train colleagues on OS printer/scanner and answer questions.
  • Answer and direct LSSI guests via Ring doorbell.
  • Manage HVAC and Ecobee Wi-Fi thermostats for CSO suites.
  • Assist and distribute vehicle notices (traffic tickets, safety recall, emissions test and toll violations)
  • Backup for alarm and access card system.
  • Performs other related tasks as needed.
Position Qualifications:
  • High School graduate or equivalent.
  • Experience in accounting, billing and /or clerical work preferred.
  • Demonstrated ability to communicate both verbally and in writing in a clear comprehensible manner.
  • Ability to create and update documents in Microsoft Word and Excel.
  • Experience in writing /updating office procedures.
  • Ability to establish schedules and meets deadlines.
  • Must have knowledge of office supply procedures.
  • Ability to calculate postal rates and operate postage and copy machines.
  • Ability to work well under pressure and juggles multiple jobs.
  • Must have a good driving record, with valid Illinois Driver license. proof of insurance (PL/PD)
