Job Summary
The Associate Director of Admissions, Operations at Chicago State University plays a pivotal role in providing leadership and direction to the operations and processing team, ensuring adherence to admissions policies and business processes. The Associate Director manages workflows related to application and admission processes, and oversees day-to-day technical processes, including Slate forms, delivery, decision release, campaigns, portals, rules, and event/scheduler functions in Slate to effectively leverage the CRM for recruitment and admission. Additionally, they oversee yearly update processes such as Cycle Prep and updates to Slate-hosted and external applications. Reporting directly to the Assistant Vice President of Enrollment Management & Admissions, this position serves as a crucial member of the leadership team to provide leadership and direction for the Office of Admissions.
Job Description
Admissions Operations (45%)
  • Provide supervision and leadership to the operations team, delegating work, providing support and training, and ensuring adherence to policies and goals.
  • Collaborate with stakeholders to develop and implement innovative enhancements to admissions processing, exceeding existing team and unit goals.
  • Create, monitor, and maintain the master timeline and instructional documentation for all application process workflows and official operations functions.
  • Coordinate planning and execution of annual and ongoing training for internal and external audiences, empowering teams to meet established goals.
  • Develop and maintain queries to assist with day-to-day operations and data integrity, ensuring accurate documentation and training resources for staff.
  • Maintain accurate documentation and coordination of critical processes, including application review, admissions reconsideration, and readmissions.
  • Partner with the Student Engagement & Marketing Team to support accurate communications and messaging throughout the application and enrollment processes.

CRM Software Systems Management (40%)
  • Act as the technical lead and primary Admissions Slate Captain, managing multiple Admissions Slate CRM database tools and overseeing their applications, configurations, and data processing.
  • Coordinate all Slate system upgrades, testing, and troubleshooting, ensuring optimal performance and functionality.
  • Collaborate with admissions leadership to assess business requirements and suggest system enhancements to support admissions goals and initiatives.
  • Provide technical and strategic support to admissions team members and stakeholders, optimizing the use of Slate tools and other admissions technology.
  • Evaluate new technology proposals, consider costs and benefits, and make data-informed recommendations to support decision-making.
  • Serve as the admissions contact for software vendors and IT staff, managing the implementation, development, and maintenance of admissions and recruitment technologies.
  • Assist with the creation and organization of key documents and data workflows for Slate and other enrollment management software.

Other Responsibilities (15%)
  • Maintain membership in professional associations and listservs and proactively seek professional development opportunities to grow and advance industry/community support resources.
  • Support strategic enrollment management planning efforts and respond to ad hoc data requests from external stakeholders.
  • Train admissions staff and campus partners on recruitment and admission systems technology functionality.

Minimum Qualifications
Bachelor's degree. Five years of experience in Admissions. Previous supervisory experience.
Preferred Qualifications
Master's degree preferred
Knowledge, Skills and Abilities
  • Proven experience in CRM administration, preferably with Technolutions Slate or a similar system.
  • Strong leadership abilities, with a track record of successfully managing admissions operations and leading teams.
  • Technical proficiency in CRM systems, database management, and data analysis.
  • Strategic mindset with the ability to translate organizational goals into actionable plans and initiatives.
  • Excellent communication, interpersonal, and problem-solving skills.
  • Knowledge of admissions policies, regulations, and best practices in higher education.
