Enterprise Technical Assistance Services, Inc. (ETAS), is a wholly owned subsidiary of Professional Project Services, Inc (Pro2Serve). ETAS was formed and dedicated to support the Department of Energy (DOE) Portsmouth/Paducah Project Office (PPPO) with technical and management services contributing to the safe and cost effective implementation of the "One PPPO" mission.

The parent company, Pro2Serve, is a nationally recognized environmental, technical, and engineering services firm dedicated to providing critical environmental management services to reduce the Nation's environmental liabilities and infrastructure engineering services in support of our Nation's security. We support the energy, defense, and science markets through responsive, cost-effective execution of critical environmental, facilities and infrastructure, and nuclear defense and nonproliferation projects.

Job Description

Works on routine/basic administrative duties with limited supervision.

Duties include filing, computer work, answer phones, report compilation, work in reception areas as needed, maintain files/logs, and prepare reports, presentations, contract and other documents using standard software.

Other duties may be assigned.

Provides administrative support to Pro2Serve and/or clients including the following:

  • Composing and typing routine correspondence
  • Copying correspondence or other printed matter
  • Filing correspondence and other records
  • Transcribing dictation from voice recording
  • Answering telephone and providing information to callers or routing call to appropriate team member
  • Placing outgoing calls
  • Preparing, proofreading and formatting complex reports, presentations, and contract/task order documents using standard software.

Receives incoming calls for directors and provides information, redirects callers to voice mail or takes other messages.

Routes incoming mail and faxes for employees and managers. Prepares outgoing mail.

Schedules appointments and coordinates itineraries as needed. Arranges travel schedules and reservations as necessary.

Greets visitors, determines visitors' needs and refers visitors to appropriate team member(s).

Assists with scheduling, meal planning and other needs as required.

Maintains conference room schedules.

Acts as receptionist or backs up receptionist when needed.

Demonstrates ability to get along with coworkers, customers and visitors.

Performs other duties as assigned by supervisor.

Job Requirements

  • Associate's Degree from an accredited university or twelve years of related experience
  • Ten years of administrative support experience
  • Must be a qualified typist (40 words or more per minute)
  • Must be proficient in the use of office equipment, including computers, scanners, fax, and copiers
  • Must be proficient in the use of Microsoft Office (Word/Excel/PowerPoint), Internet Explorer, and Adobe Acrobat
  • Must be an effective communicator(oral and written)
  • Have an ability to work professionally with individuals, diverse groups, and the public
  • Have well-developed time management and schedule
  • Ability to work independently or in a team environment
  • Exhibit a high degree of professionalism in the production and deliverables and in interactions with fellow employees and client personnel
Preferred Qualifications

Experience with Microsoft Publisher and Visio

Experience with Microsoft SharePoint

DOE Records Management experience

Federal Government Clearance:

This position may require the ability to obtain a government clearance. This position may require reviews and test for absence of any illegal drugs along with a background investigation by the Federal government in order to obtain an access authorization prior to employment, and may require subsequent reinvestigations may be required.
