The University of Illinois seeks a Business Administrative Associate to provide high-level administrative and managerial support to the Office of the Vice President for Health Affairs (OVPHA), using initiative, independent judgment and discretion concerning priorities with a high degree of specialization. OVPHA is an executive-level office that administers a high volume of work, which requires working under pressure on a daily basis to meet stringent deadlines.

This position will perform a wide variety of functions in support of operations and services administered by the OVPHA, which requires knowledge about overall OVPHA activities, applicable University and departmental policies, and established office procedures.

Minimum Acceptable Qualifications:
  • Bachelor's degree in business administration, management or a field related to the position
  • Two years of professional level accounting, managerial, business and/or office experience, one year of which was at an administrative level
  • Experience in project management
Preferred Qualifications:
  • Comprehensive knowledge of the functions and responsibilities of Associate Vice Presidents, Directors, and Assistant Directors within OVPHA, in order to assist and respond to inquiries from University officers, faculty, and business leaders.
  • Thorough understanding of the organizational structure of the entire University.
  • Advanced computer skills to proficiently perform assigned duties and responsibilities using Microsoft programs/applications including: Outlook, Word, Excel, Access, and Internet Explorer or other web browsers.
  • Knowledge about P-card, Travel Card, Banner and iBuy software programs/applications to perform accurate and timely data entry related to assigned areas of responsibility.
  • Excellent verbal and written communications skills to interact effectively with University and departmental officials/staff and other persons seeking assistance from OVPHA. Ability to prioritize/manage daily responsibilities, and identify/inform the OVPHA administrative officials/professional staff about workload issues in a timely manner is integral to the successful operation of OVPHA.
  • Ability to work independently and exercise good judgment and discretion in supporting OVPHA operations and services, and with processing correspondence/documents that contain confidential and sensitive information.
